  • About 3 previous Administrative Experience

▶ To provide a professional and comprehensive assistance to staff and customers.
▶ Attend to visitors and deal with inquiries on the phone and face to face.
▶ Supply information regarding the organization to the, staff and customers.
▶ Is responsible for handling matters requiring discretionary judgment and sensitivity as well as making independent decisions regarding planning, organizing and scheduling work within established guidelines.

Customer Service/Greeting Clients:
▶ Greet persons entering organization and assist them accordingly.
▶ Direct persons to correct destination and notify staff on arrival of visitor/s.
▶ Assist customer as far as possible regarding their requirements before directing them
to an individual.

Time Management:
▶ The employee must demonstrate good time management, be on time at the reception

▶ Do administration functions e.g. photocopying, faxing of documents.
▶ Prepare letters and documents.
▶ Receive and sort mail and deliveries.
▶ Maintain appointment diary either manually or electronically
▶ Organize meetings.
▶ Control signing of visitor’s book and security book.
▶ Issuing and monitoring of temporary access cards.

Phone and Email:
▶ Communicating to customers via telephone, facsimile, e-mail, etc.
▶ Answer telephone, screen and direct calls to the revenant person/departments
▶ Take messages and communicate messages to relevant staff members.
▶ Provide information to callers and direct calls to relevant persons
▶ Deal with queries from the staff and customers.

Order office and stationary from suppliers:
▶ Order stationery on time.

▶ To ensure filing of paperwork for business, is done on a daily basis and in an ordered

House Keeping:
▶ Tidy and maintain the reception area clean.
▶ Dress appropriately and professional.

Education and Experience:
▶ Grade 12 + Certificate in office Administration
▶ knowledge of administrative and clerical procedures
▶ knowledge of computers and relevant software applications
▶ knowledge of customer service principles and practices

▶ 2 -3 years job related experience
▶ 2-3 years in Micro Soft Office Packages
▶ 2-3 years Computer experience

▶ Diploma in Office Administration
▶ Advance MS Office
▶ SAP R3
▶ Technical knowledge could be advantageous
